Refund Policy for Private Medical Services

This refund policy applies to all private, non-NHS services provided by [Your GP Surgery Name], including but not limited to travel vaccinations, medical reports, and other chargeable administrative services. Our policy is designed in accordance with UK consumer law while considering the nature of the services provided.

1. General Refund Policy

We aim to provide high-quality services to all patients. However, refunds will only be considered in specific circumstances, as outlined below.

  • Refunds will not be given once a service has been provided. This includes:
    • The administration of a vaccination.
    • The completion and provision of a medical report.
    • Any other chargeable service that has already been carried out.
  • Patients are responsible for ensuring they require the requested service before making payment.

2. Travel Vaccinations

  • Refunds Prior to Administration: If a patient cancels a vaccination appointment at least 48 hours in advance, they may be eligible for a refund of the vaccination fee.
  • No Refunds After Administration: Once a vaccination has been administered, no refund will be provided under any circumstances.
  • Vaccine Suitability: Patients are responsible for ensuring the vaccine is suitable for their travel requirements. We can provide guidance, but the final decision rests with the patient.

3. Medical Reports and Certificates

  • Refunds Prior to Processing: If a request for a medical report is cancelled before any work has commenced, a full refund may be issued.
  • No Refunds Once Work Has Begun: Once a doctor has started work on a medical report, no refund will be issued.
  • Rejection by Third Parties: No refund will be provided if a medical report is rejected by the requesting organisation (e.g., an insurance company) or if the report leads to an unfavourable decision (e.g., DVLA refusing a driving licence based on the report’s contents). Our role is to provide an accurate, professional assessment, not to guarantee a particular outcome.
  • Supplemental Reports: If additional information or clarification is required after the completion of the original report, we charge for supplemental reports.
  • Amendments: If an error is identified in a completed report, we will correct it at no additional cost. However, amendments requested due to a change in circumstances or to influence an outcome will not be accommodated.

4. Other Chargeable Services

  • Any other private administrative service (e.g., letter writing, form completion) will not be eligible for a refund once the work has been completed.
  • If an error is made by the practice, we will correct it at no additional charge.

5. Payment and Refund Process

  • Payments for private services must be made in advance.
  • Refunds, where applicable, will be processed via the original payment method within 14 working days.
  • Any refund requests must be submitted in writing to the practice within 30 days of payment.

6. Exceptional Circumstances

We understand that unforeseen circumstances can arise. If you believe you have exceptional grounds for requesting a refund, please contact the practice in writing. Requests will be reviewed on a case-by-case basis, and a decision will be made at the discretion of the practice management.

For further information, please contact our practice manager.
